Corporate Occupancy Reports: Rent Roll Report

See a per-facility rollup of occupancy, rent, and receivables across your portfolio, as of any date you choose.

Overview

The Rent Roll report is a snapshot of rent and receivables across a portfolio, as of any date you choose. This Corporate level version contains no tenant or unit detail - it shows one summary row per selected facility, rolled up from that facility's tenant-level figures. You can use it to review receivables and revenue in place across a portfolio; owners and lenders use it as proof of contracted revenue at scale. Like the Facility level version, this report is fully historical - running it for a past date reproduces that day's numbers exactly, as they stood on that date.

Prerequisites

Access to this report requires:

  • Read Rent Roll permission in the Report section, at the Corporate tab.

Report Scope

This article covers the Corporate level version of the Rent Roll report, which lists one summary row per selected facility. For tenant- and unit-level detail at a single site, see the Facility level version of the report.

💡 Tip: This report can be scheduled for recurring email delivery the same as the Facility level version - the system emails recipients a link that opens the report for the chosen date. The report can also be marked as a favorite for quick access.

Report Layout

The report page includes the following report parameters and page controls.

Report parameters

  • Report name and category – Shown as Rent Roll, tagged with the purple Occupancy badge.

  • Facility scope – Shows the facilities and/or facility groups selected for this run. Selections are combined, so a facility selected both individually and as part of a group appears only once.

  • Date range – The Generated For date the report covers. Each facility is evaluated at its own local end of day, so a multi-time-zone portfolio stays internally consistent per site.

  • Report Generated timestamp – The exact date and time the report was run.

Filter and export

  • Filter – Opens the Generate Rent Roll Report drawer, where the For date and the facility and/or facility group selection can be reapplied.

Main Table Content

The report's main table breaks results down into facility identification, rate and charge snapshots, and balance and aging columns.

Facility Identification

These columns identify which facility each row summarizes.

  • Facility – The facility name.

  • Facility Report – A clickable link that opens the Facility level Rent Roll report for that site.

Rate and Charge Snapshot

These columns are facility-wide sums of the same stored "latest charge" values shown at the Facility level.

  • In Place Rate – The sum of that facility's tenant-level in-place rates - the facility's monthly scheduled revenue.

  • Security Deposit – The sum of that facility's tenant-level security deposit amounts.

Balance and Aging

These columns are calculated by summing that facility's tenant-level figures.

  • Rent Due – The facility's total unpaid rent. Calculated as: the sum of that facility's tenant-level Rent due figures.

  • Coverage Due – The facility's total unpaid coverage. Calculated as: the sum of that facility's tenant-level Coverage due figures.

  • Fees Due – The facility's total unpaid fees. Calculated as: the sum of that facility's tenant-level Fees due figures.

  • Other Due – The facility's total of everything else unpaid, such as retail items, migrated opening balances, manual debits, and unpaid deposits. Calculated as: the sum of that facility's tenant-level Other due figures.

  • Prepaid/Credit – The facility's total credit on account. Calculated as: the sum of that facility's tenant-level Prepaid/Credit figures.

  • Total Due – The facility's full outstanding balance. Calculated as: the sum of that facility's tenant-level Total due figures.

ℹ️ Info: Because each tenant's Total Due and Prepaid/Credit are already floored at zero at the Facility level before this rollup sums them, a facility's Total Due and Prepaid/Credit can both show a nonzero amount at the same time - credit from one tenant is never netted against another tenant's balance, even at this summary level.

Corporate level Rent Roll report doesn't show Coverage Premium, PTD, or Days Late. Open the Facility level version of a specific site for those.

Sorting and Totals

Rows are sorted by facility name, and the report ends with a single portfolio totals row.

  • Sorting – Rows are sorted by facility name. This default sort order can be cleared using the X button on the right-hand side of the table.

  • Totals row – The report ends with a single portfolio grand-total row that sums the facility rows: total In Place Rate, total Security Deposits, the four due buckets, total Prepaid/Credit, and Total Due.

ℹ️ Info: A facility with no occupied units still appears as a row of zeros, so the portfolio list stays complete and stable from run to run.

FAQ

The following questions cover common points of confusion when reading the Corporate level Rent Roll.

1. Why does a facility show all zeros?

A facility with no occupied units still appears as a row of zeros rather than being left off the report, so the portfolio list stays complete and stable from run to run.

2. Why can't I see days late or paid-through date here?

This level doesn't include Coverage Premium, PTD, or Days Late. Open the Facility level version of a specific site to see those.

3. I selected a facility individually and it's also part of a group I picked - why does it only show up once?

Facility and facility group selections are combined before the report runs. A site selected both ways appears only once in the results.

4. A facility shows both a Total due and a Prepaid/Credit amount - is that a mistake?

No. Facility-level Total Due and Prepaid/Credit are rollups of already-floored tenant-level figures, so credit from one tenant is never netted against another tenant's balance - even at the facility summary level, both amounts can be nonzero at once.

5. Can this report be scheduled?

Yes. The Corporate level version can be scheduled the same way as the Facility level version - the system emails recipients a link that opens the report for the chosen date.
