Corporate Financial Reports: Active Leases Report

See which tenants held an active lease at any point during a chosen date range, across every facility, along with the rate each one was paying.

Overview

The Corporate level Active Leases report lists every tenant who held an active lease at any point during a selected date range, across all facilities included in the report. You typically run it to review the rent roll - how many leases were active and how much monthly rent they represent - and to compare occupancy or rates between periods. Each row represents one active lease: one tenant renting one unit, at the rate in place during that period.

Prerequisites

Access to this report requires:

  • The Report > Read Active Leases permission, enabled on the Corporate tab.

Report Scope

A lease appears on the report if it was active at any point within the selected date range. Both of the following must be true:

  • The tenant moved in on or before the To date. A reservation with no move-in date does not appear.

  • The tenant has either not moved out, or moved out on or after the From date.

A lease doesn't need to span the entire date range to appear. A tenant who moved out partway through the range still appears, and so does a tenant who moved in on the last day of the range. Only leases that ended before the range began, or started after it ended, are excluded.

ℹ️ Info: A lease with no recorded rate as of the To date is excluded from the report, since the report can't state a rate it doesn't know. This is uncommon and typically affects older or partially migrated lease records.

Report Layout

The report page includes the following report parameters and page controls.

Report Parameters

  1. Report name and category - Shown as Active Leases, tagged with the green Financial badge.

  2. Facility scope - Lists the names of all facilities selected for the report. At the Corporate level, this can include multiple facilities.

  3. Date range - The Generated From and To dates the report covers.

  4. Report generated timestamp - The exact date and time the report was run.

ℹ️ Info: Dates are read in each facility's own local time zone. A To date of June 30 marks the end of June 30 in that facility's local time, not the viewer's own time zone.

Filter and Export

  1. Filter - Opens the Generate Active Leases Report drawer, where the From and To dates can be reapplied and the facilities included in the report can be changed.

  2. Export as - Downloads the report as CSV, Excel, or PDF.

Main Table Content

The report includes the following columns:

  • Facility - The facility's code and name. This column appears only in the Corporate level report; the Facility level report doesn't need it, since every row already belongs to the same facility.

  • Tenant - The full name of the person or business on the lease.

  • Unit - The unit number the tenant is renting, for example A-101.

  • Unit Group - The category the unit belongs to, typically based on its size and features, for example 10×10 Climate Controlled. Facilities use unit groups to organize and price similar units together.

  • In Place Rate - The monthly rent this tenant is set to pay, as it stood at the end of the To date. This is the tenant's own agreed rate, and it can differ from the rate advertised to new customers.

  • Web Rate - The monthly rent of the unit displayed online. The web rate doesn't have to be the same as the in place rate.

ℹ️ Info: The rate and unit details shown are historical - they reflect how things stood on the To date, not how they stand today. Running the report for last March shows March's rate, even if the tenant's rate has changed since then.

💡 Tip: Facility, tenant, and unit names in the table are clickable. Clicking a facility opens that facility's dashboard, clicking a tenant opens that tenant's overview page, and clicking a unit opens that unit's overview page.

Sorting and Totals

Rows are sorted by facility name, then by tenant name, then by unit number. This default sort order can be cleared using the X button on the right-hand side of the table.

At the bottom of the report, two totals are shown:

  • Lease count - The number of active leases included in the report, represented by the number below the Unit column.

  • In Place Rate total - The combined monthly rent across all leases in the report, represented by the amount below the In Place Rate column.

FAQs

1. Why does a tenant still show up in the report if they moved out partway through the date range?


Because the lease was active for part of the period. A lease appears if it started on or before the To date and either hasn't ended or ended on or after the From date - it doesn't need to cover the whole range.

2. Why might an active lease be missing from the report?

The most common reason is that the lease has no recorded rate as of the To date, which excludes it since the report can't state a rate it doesn't know. This mostly affects older or partially migrated records.

3. Does the In Place Rate reflect what a tenant is paying right now, or what they were paying when the report was generated?

The report is historical. The In Place Rate and other details reflect how things stood on the To date, not today - running the report for a past month shows that month's rate, even if it's since changed.

4. What happens if I run the report without selecting any facilities?

The report returns no results. At least one facility or facility group needs to be selected for the report to return leases.
