Facility Occupancy Reports: Occupancy Statistics by Unit Group

See occupancy, vacancy, and revenue potential for every unit group in a facility, broken into category sections with subtotals and a facility-wide grand total.

Overview

The Occupancy Statistics by Unit Group report shows a facility's occupancy and revenue as of a single date, broken out by unit group. Units that share the same physical characteristics are grouped into rows, and those rows are organized into category sections such as Storage, Locker, Parking, Office, Wine Storage, Mailbox, Antenna, and Billboard. You typically run this report to compare potential rental revenue against what the facility is currently collecting, and to see how occupancy breaks down across unit groups.

Prerequisites

Access to this report requires:

  • Read Occupancy Statistics by Unit Group permission under Report section enabled to view Occupancy Reports at the Facility tab (Corporate level > Users > Roles&Permissions > [Your Role] > Facility tab > Report section > Read Occupancy Statistics by Unit Group permission enabled).

Report Layout

The report page includes the following report parameters and page controls.

Report Parameters

  1. Report name and category - Shown as Occupancy Statistics by Unit Group, tagged with the purple Occupancy badge.

  2. Facility scope - A single facility. This report is available at the Facility level only - there's no Corporate level version.

  3. Generated For - The single date the report reflects, rather than a date range.

  4. Report generated timestamp - The exact date and time the report was run.

ℹ️ Info: The report reflects the facility exactly as it stood at the end of the Generated For date, in the facility's own time zone - not the facility's current, live status.

Filter and Export

  1. Filter - Opens the Generate Report - Occupancy Statistics by Unit Group drawer, where the For date can be reapplied. Unlike the Corporate level report, there's no facility picker here, since the report is already scoped to a single facility.

  2. Export as - Downloads the report as CSV, Excel, or PDF.

Main Table Content

The report is organized into one table per category - Storage, Locker, Parking, Office, Wine Storage, Mailbox, Antenna, and Billboard - with each row representing one unit group. Every category table uses the same set of columns, described below.

Unit Group Columns

These columns describe the physical facts that define a unit group. Individual units that match on every one of these facts - area, width, length, height, climate control, location, door, and floor - are counted together as a single row in the table, rather than listed on separate rows.

  • Unit Group - The name of the unit group as configured for the facility.

  • Area - The unit's square footage, shown to 2 decimal places. A unit with no recorded area shows as 0.

  • CC - The unit's climate-control setting, shown as it's configured - Heated, Cooled, or Both. A unit with no climate control shows this cell blank.

  • Location - The unit's access setting, such as Inside or Outside. Missing values show blank.

  • Door - The unit's door type. Missing values show blank.

  • Floor - The unit's floor number. Missing values show 0.

ℹ️ Info: Two unit groups with different names still combine into a single row if their physical facts - area, width, length, height, climate control, location, door, and floor - all match. Renaming a unit group doesn't split or merge a group.

Units Columns

These columns show the status of the units in the group and what share of them are occupied.

  • Total - The number of active units in the group. Deactivated units aren't included in the report.

  • Unavailable (#U) - The number of units that are vacant and flagged as not rentable.

  • Company (#C) - The number of units currently held by the facility itself.

  • Reserved (#R) - The number of units currently reserved.

  • Vacant (#V) - The number of units that are vacant and rentable. A unit with no status history on record counts as Vacant.

  • Occupied (#O) - The number of units currently occupied.

  • Occupied % (%O) - Occupied units divided by Total units, shown as a percentage to 2 decimal places. Shows 0% when the group has no units.

⚠️ Warning: Unavailable here doesn't mean a unit is offline or broken - it specifically means the unit is vacant and flagged as not rentable. An occupied unit that's flagged as not rentable is still counted under Occupied, not Unavailable.

Rates Columns

Rate ranges look at every unit in the group, regardless of its status.

  • Street Rate - The lowest and highest standard rate among the group's units as of the report date, shown as a range (for example, $170.00 – $200.00).

  • Web Rate - The lowest and highest web rate, as of the report date, among units in the group that have one set. Units without a web rate aren't included in the range. If no unit in the group has a web rate, this cell is blank rather than showing $0.00.

Revenue Columns

These columns show the group's potential and actual rental revenue.

  • Gross Potential - The sum of the standard rates for every unit in the group, regardless of status.

  • Vacancy Potential - The sum of the standard rates for vacant, rentable units only - the additional revenue the facility could gain by filling them.

  • In Place Rate - The group's actual rent from occupied units. Calculated as: for each occupied unit, the tenant's lease rate as of the report date, or the unit's standard rate if the lease has no rate on file or there's no lease at all - summed across the group.

Area Columns

These columns show the unit group's square footage broken out by occupancy.

  • Total - The combined square footage of every unit in the group.

  • Vacant - The combined square footage of vacant, rentable units only.

  • Occupied - The combined square footage of occupied units only.

  • Occupied % - Occupied square footage divided by total square footage, shown as a percentage to 2 decimal places. Shows 0% when the group has no square footage.

Per SQ FT columns

These columns express potential and actual revenue on a per-square-foot basis.

  • Gross Potential - The group's Gross Potential expressed per square foot. Calculated as: Gross Potential ÷ Total (Sq Ft), shown to 2 decimal places. Shows 0 when the group has no square footage.

  • In Place - The group's In Place Rate expressed per square foot of occupied space. Calculated as: In Place Rate ÷ Occupied (Sq Ft), shown to 2 decimal places. Shows 0 when nothing in the group is occupied.

Subtotals and Grand Total

Each category section ends with a subtotal row, and the report ends with one grand total across the whole facility. Both use the same columns as the detail rows above, except the Street Rate and Web Rate ranges aren't shown.

  • Unit counts, revenue, and area numbers are simply added up - a subtotal is the total of its section's rows, and the grand total is the total of all the subtotals.

  • Percentages and per-square-foot numbers are worked out fresh from those totals - they aren't an average of the percentages shown in the rows above.

ℹ️ Info: A subtotal's percentage or per-square-foot value won't match a simple average of the rows above it - it's worked out fresh from the section's totals, which is the correct way to read it.

FAQs

1. Does this report show live occupancy, or data from a specific date?

It shows a snapshot as of one specific date, not live data. The report reflects the facility exactly as it stood at the end of the Generated For date, in the facility's own time zone.

2. Why do two unit groups with different names show up in the same row?

The report groups units by physical characteristics - area, width, length, height, climate control, location, door, and floor - not by name. If two differently-named unit groups share all of these physical facts, they're combined into a single row.

3. Why is an occupied unit not showing up under Unavailable even though it's flagged as not rentable?

The Unavailable column only counts units that are both vacant and not rentable. An occupied unit that's flagged as not rentable is still counted under Occupied, not Unavailable.

4. Why is the Web Rate column blank for some unit groups?

A blank Web Rate means none of the units in that group have a web rate set. It shows a blank cell rather than $0.00, so it isn't mistaken for an actual rate of zero.

5. Is this report available at the Corporate level, or only per facility?

This report is Facility level only - there's no Corporate level version.
