Corporate Financial Report: Active Leases Non-Billed

See every active lease across your facilities billed at $0, with each lease's reason, street rate, web rate, and the income given up.

Overview

The Active Leases Non-Billed report lists every active lease across the selected facilities that is billed at a $0 in-place rate. That includes a unit given to a tenant free of charge, such as a relative, a staff member storing items the facility needs, or another approved arrangement.

For each lease, it shows a facility, tenant, unit, unit group, the $0 in-place rate, street and web rate. Additionally, it splits the leases into a separate table for each reason a lease is non-billed.

Corporate operations managers run it to see, across all facilities, which units are occupied at no charge and how much potential income each non-billed arrangement gives up.

Prerequisites

Access to this report requires:

  • The Read Active Leases Non-Billed (Reports) permission at the Corporate level.

  • Corporate level selected in the Facility Switcher.

Report Layout

The report page includes the following parameters and controls, along with four summary tiles above the results.

Report parameters

These items appear at the top of the report:

  • Report name and category: shown as "Active Leases Non-Billed," tagged with the green Financial badge.

  • Facility scope: the facilities covered by the report. At the Corporate level, this can be a facility or selected set of facilities.

  • Date range: the Generated From and To dates defining the period the report covers.

  • Report generated timestamp: the exact date and time the report was run.

Filter and export

Two controls appear on the report page:

  • Filter – opens a panel to narrow results by additional criteria before reviewing or exporting.

  • Export as – downloads the report as CSV, Excel, or PDF.

Summary tiles

Four tiles sit above the results table and total the whole report:

  • Non-Billed Leases – the total number of non-billed leases on the report.

  • In Place Rate Total – the combined in-place rate of every lease on the report. This is always $0.00, because every lease here is billed at a $0 rate.

  • Street Rate Total – the combined current street rate for all units on the report. Calculated as: the sum of the Street Rate column across all leases. This figure is the total income the facilities are giving up while these units stay non-billed.

  • Web Rate Total – the combined current web rate of every unit on the report. Calculated as: the sum of the Web Rate column across all leases.

Main Table Content

Results are split into a separate table for each non-billed reason, each headed by the reason it covers (for example, "Reason: Owner Approved").

The reason is the table heading, not a column. Within each table, rows are sorted by Facility (ascending) and then by Tenant (ascending). Every table has the same columns:

  • Facility – The facility the unit belongs to.

  • Tenant – The tenant or company name on the non-billed lease.

  • Unit – The unit number tied to this lease.

  • Unit Group – The rate category or unit type the pricing is based on (for example, "5 x 5 x 5 Locker").

  • In Place Rate – The current contracted monthly rate on the lease. This is $0.00 for every lease on this report.

  • Street Rate – The unit's current published market rate: what the unit would rent for at the standard rate.

  • Web Rate - The unit's current online rate: what the unit would rent for when reserved through the facility's website, which may be set lower than the street rate to attract online bookings.

Each reason group ends with a total row, and a final Total row sums the whole report. Within a reason group, the Street Rate total is the income given up for that reason.

ℹ️ The Street Rate reflects the standard market rate; the Web Rate reflects the lower online rate. Read both the Street Rate Total and the Web Rate Total as forgone income, not revenue

ℹ️ Info: The report lists only leases whose rate itself is $0. A lease that is temporarily $0 for one or more months because of a special is not non-billed and does not appear here.

ℹ️ Info: A lease whose non-billed reason was never captured still appears on the report, grouped under "no reason recorded." These leases are never hidden.
