Overview
The Active Leases Non-Billed report lists every active lease that has a $0 in-place rate. It runs for the facility you are logged in to - you cannot pick a different facility or combine several.
For each lease, the report shows the tenant, unit, unit group, the $0 in-place rate, and the unit's current street and web rate. It also splits the leases into a separate table for each reason a lease is non-billed.
Facility managers run it to see which units are occupied at no charge and how much potential income each non-billed arrangement gives up.
Prerequisites
Access to this report requires:
The Read Active Leases Non-Billed (Reports) permission at the Corporate level.
A facility selected in the Facility Switcher.
Report Layout
The report page includes the following parameters and controls, along with three summary tiles above the results.
Report Parameters
These items appear at the top of the report:
Report name and category: shown as "Active Leases Non-Billed," tagged with the green Financial badge.
Facility scope: the single facility covered by the report.
Date range: the Generated From and To dates defining the period the report covers.
Report generated timestamp: the exact date and time the report was run.
Filter and Export
Two controls appear on the report page:
Filter – opens a panel to narrow results by additional criteria before reviewing or exporting.
Export as – downloads the report as CSV, Excel, or PDF.
Summary Tiles
Four tiles sit above the results table and total the whole report:
Non-Billed Leases – the total number of non-billed leases at the facility.
In Place Rate Total – the combined in-place rate of every lease on the report. This is always $0.00, because every lease here is billed at a $0 rate.
Street Rate Total – the combined current street rate for all units on the report.
Web Rate Total – the combined current web rate for all units on the report.
ℹ️ Info: The Street Rate Total is calculated as the sum of the Street Rate column across all leases. This figure is the total income the facility is giving up while these units stay non-billed.
Main Table Content
Results are split into a separate table for each non-billed reason, each headed by the reason it covers (for example, "Reason: Charity"). The reason is the table heading, not a column.
Within each table, rows are sorted by Tenant (ascending). The report also does not include a Facility column, because it covers a single facility. Every table has the same columns:
Tenant – The tenant or company name on the non-billed lease.
Unit – The unit number tied to this lease.
Unit Group – The rate category or unit type the pricing is based on (for example, "Climate Controlled 20 x 20").
In Place Rate – The current contracted monthly rate on the lease. This is $0.00 for every lease on this report.
Street Rate – The unit's current published market rate: what the unit would rent for at the standard rate.
Web Rate – The unit's current online rate: what the unit would rent for when rented through the facility's website.
Each reason table ends with its own Total row showing the number of leases in that reason, the In Place Rate total ($0.00), the Street Rate total, and the Web Rate total.
The Street Rate total on a reason's Total row is the income given up for that reason. The four summary tiles at the top of the report total these figures across every reason.
⚠️ Warning: The In Place Rate on this report is $0.00 by definition. The Street Rate is the market rate the unit would otherwise command - it is income the facility is giving up, not income billed, owed, or collected. Read the Street Rate totals as forgone income, not revenue.
ℹ️ Info: The report lists only leases whose rate itself is $0. A lease that is temporarily $0 for one or more months because of a special is not non-billed and does not appear here.
ℹ️ Info: A lease whose non-billed reason was never captured still appears on the report, in its own table headed "no reason recorded." These leases are never hidden.
