Add a Task Trigger

Turn a facility event into a work task and assign it to the right staff.

Facilities handle countless routine events every day - a tenant moves out, an autopayment fails, or a unit requires attention. Many of these events require staff to follow up, but without a reminder, important tasks can easily be overlooked.

A Task Trigger is a rule that automatically converts a facility event into a work task. When the selected event occurs, QuikStor creates a task and assigns it to the appropriate staff member.

Each task includes clear instructions on what needs to be done, and assigned staff can view and manage their tasks directly from the facility dashboard.

Prerequisites

  • Task Trigger - Read, Create, and Edit permissions at the Corporate level.

  • Task Trigger - Read Assigned and Assign permissions at the Facility level.

  • At least one active user or user group at the facility.

ℹ️ Info: Some options in this article are hidden or disabled if your account does not have the required permission. If you see a message that you need permission to create or assign a task, contact your administrator.

Step 1: Switch to the Corporate Level

Task Triggers are set at the Corporate level.

  1. In the top bar, open the Facility Switcher.

  2. Select Corporate.

Step 2: Open the Task Triggers List

The Task Triggers page lists every task trigger created for the organization.

  1. In the left menu, under Settings, select Task Triggers.

  2. Select List. The Task Triggers page opens.

Step 3: Add a New Trigger

The Task Triggers page lists all task triggers for the company.

  1. Click the Add New button to add a task trigger to the list.

ℹ️ Info: If no triggers exist yet, the page shows the message "There is no Task Trigger to display."

ℹ️ Info: The Add New button location depends on whether triggers exist. If at least one trigger exists, the button is in the top-right corner of the page. If no triggers exist yet, the Add New button appears in the center of the page.

Step 4: Set the Task Trigger Type, Name, and Status

The trigger type sets the event that creates the task. The name and status control how the trigger appears in the list.

  1. Open the Trigger Type drop-down menu.

  2. Select the event to act on. For example, Move-Out.

  3. In the Trigger Name field, enter a name that describes the trigger.

  4. Set Trigger Status to Active.

ℹ️ Info: QuikStor offers three task trigger types: Online Move-In, Autopayment Failed, and Move-Out. Each type creates a task when its event happens.

ℹ️ Info: A new trigger is Active by default. An Active trigger runs when its event happens. Set the trigger to Inactive to save it without running it, and set it to Active later.

Step 5: Add a Task Trigger Description

The description explains what the trigger does.

  1. In the Description field, enter a summary of what the trigger does.

Step 6: Configure the Task Trigger

The task name and task description appear on the work task that staff see on the facility dashboard.

  1. In the Task Name field, enter a short task title.

  2. In the Task Description field, enter clear instructions for the assigned staff.

Step 7: Select Trigger-Specific Options

Some trigger types show an extra option below the task description.

  1. If you select Move-Out, a Mark unit as Unrentable option appears. Keep it selected to hold the unit out of the rentable inventory after the tenant moves out.

ℹ️ Info: When a tenant moves out, the Move Out task trigger sets the unit to Unrentable instead of Vacant. An Unrentable unit cannot be rented or reserved. It stays Unrentable until a staff member confirms it is ready.

Step 8: Save the Task Trigger

Saving adds the trigger to the Task Triggers list.

  1. In the bottom-right corner of the panel, click Add Task Trigger.

The new trigger appears in the Task Triggers list with the status Active.

Step 9: Open the assignment page

The assignment page connects each trigger to the staff who handle its task at a facility.

  1. In the left menu, under Settings, select Task Triggers.

  2. Select Assignment.

Step 10: Assign User or Users to the Task

The assigned users receive the task each time the trigger runs at this facility.

  1. At the top of the Task Assignment page, select the facility to configure.

  2. On the trigger you want to assign, select Assign Users.

  3. In the Assign task to field, search for and select one or more users or groups.

  4. Select Assign.

That is it! The Task Trigger is set up. Each time the chosen event happens at this facility, QuikStor creates the task and assigns it to the selected user. The task appears on the facility dashboard, where the assigned staff can open, complete, or cancel it.
