Overview
The Movement Analysis report lists all move-ins, move-outs, and transfers that occurred during a selected date range, with one row per activity. For each row, it shows the tenant, unit, rates, lead source, and the staff or system user who recorded the activity.
For move-outs, it also shows the recorded move-out reason category and any move-out notes, so churn can be reviewed directly in the report instead of opening each former tenant's record one at a time.
District managers and corporate operations teams run this report to understand move-in and move-out activity across multiple facilities and to see why tenants are leaving.
Prerequisites
The Read Movement Analysis permission to view Occupancy Reports at the Corporate level.
Report Layout
The report page shows the following parameters and controls above the results table. The report parameters at the top identify the report and the period it covers:
Report name and category: "Movement Analysis," tagged with the purple Occupancy badge.
Facility scope: the facility or facilities the report covers. At the Corporate level, the report can span multiple facilities, and each row is labeled with the facility it belongs to in the Facility column.
Date range: the Generated From and To dates that define the period the report covers.
Report generated timestamp: the exact date and time the report was run, indicating how current the data is.
The summary counters sit below the parameters and total the activity for the selected period:
Move-Ins – the number of move-ins in the period.
Undo Move-Ins – the number of move-ins that were reversed.
Move-Outs – the number of move-outs in the period.
Undo Move-Outs – the number of move-outs that were reversed.
Total Transfers – the number of transfers in the period.
Two controls are available in the top-right corner:
Filter – opens a panel to narrow results by additional criteria before reviewing or exporting.
Export as – downloads the report as CSV, Excel, or PDF.
💡Tip: Sort the results by any column, ascending or descending, by clicking the column header; clicking the same header again reverses the direction. The third click resets Column sorting.
Main Table Content
The report includes the following columns:
Facility – This column appears at the Corporate level so activity from multiple facilities can be told apart in a single report.
Date – The date the activity took place.
Activity – The type of movement for the row: Move-In, Move-Out, or a transfer.
Tenant – The name of the tenant tied to the activity.
Unit – The unit number involved in the activity.
STR Rate – The unit's standard rate.
Web Rate – The rate advertised online for the unit.
In Place Rate – The tenant's current contracted monthly rate.
Size – The dimensions of the unit.
Unit Group – The rate category or unit type the unit belongs to.
Special – The promotional special applied to the unit, if any.
Lead Source – Where the tenant originally came from.
Days In Unit – The number of days the tenant occupied the unit. Calculated as: the number of days between the move-in date and the move-out date. This value appears on move-out rows.
User – The staff member or system account that recorded the activity.
Move Out Category – Recorded on the move-out screen.
Move Out Notes – Recorded on the move-out screen.
ℹ️ Info: The Move Out Category and Move Out Notes columns are populated only for move-outs. Move-outs that were undone show blank values in both columns, and move-in and transfer-in rows show no values. A move-out row with nothing recorded on the move-out screen also shows blank values.
💡 Tip: On screen and in the PDF, long Move Out Notes are shown in a fixed-width column so they do not stretch the report. To read the full note text, export the report to CSV or Excel, where the notes are carried in full.
