California SB 709 max rent disclaimers, private coverage tracking, warning list, bulk coverage assignment, unit audit trail, multi-language tenant portal, StorGuard and DoorKing access control, on-demand eSignatures, and document categorization.

Whenever any new functionality or permissions are delivered in a new release, the permissions associated to the new functionality are defaulted to off for all roles. This is to ensure that we don't inadvertently enable something for a user that they should not have access to. If you can't see any of the functionality explained below in your system, please make sure to have your System Administrator turn on permissions for the specific functionality. See Roles & Permissions for more information.

Merry Christmas Eve! We're excited to announce yet another production release! This one is a big one! A rundown of new features, improvements, and bug fixes in this release are outlined below:

Maximum Rent & Maximum Rent Expiration (California SB 709 Lease Disclaimers)

For California facilities, California SB 709 requires operators to disclose whether the rental fee is subject to change and, if so, the maximum rental fee that may be charged during the first 12 months following the agreement date. This disclosure must be prominently displayed on the first page of the lease.

To support this requirement, and to establish a flexible foundation for both compliance-driven and marketing-driven use cases, QuikStor has delivered the following enhancements. This functionality not only ensures alignment with SB 709, but also enables future capabilities such as rate locks and other pricing and lease-based offerings.

Max Rent Increase Facility Level Settings

QuikStor now allows operators to define the maximum rent amount that can be calculated at move-in, along with the expiration date for that maximum rent, on a per-facility basis. This ensures that required lease disclosures are generated accurately and consistently based on each facility’s configuration.

This facility-level control provides the flexibility needed to support varying local requirements while maintaining standardized lease behavior across multi-facility portfolios.

Max Rent Increase Document, Email, and SMS Tags

To support this new functionality, max rent information must flow seamlessly into customer-facing communications and lease documents. QuikStor now exposes new document, email, and SMS tags that allow this data to be dynamically injected during the move-in process.

The following tags are now available:

Outputs the Max Rent Increase Percentage defined in the Max Rent Increase Settings for the facility at the time of move-in.

{{m.maxra}}

Outputs the calculated Maximum Rent Amount, based on the street rate of the unit being moved into, excluding discounts, multiplied by the Max Rent Increase Percentage plus 100%.

IMPORTANT NOTE: This tag returns the resulting maximum rent amount, not the percentage itself and not a percentage of the street rate.

For example, if the Max Rent Increase Percentage is set to 100% and the street rate at move-in is $200, the Maximum Rent Amount output by this tag will be $400, not $200.

Outputs the Max Rent Expiration Date, calculated as the move-in date plus the number of months defined in the Max Rent Increase Settings for the facility.

These tags ensure required disclosures are accurately and consistently included across leases, emails, and SMS communications, while also enabling future pricing- and marketing-driven use cases such as rate locks and promotional guarantees.

Add or Change Max Rent Increase Information During Move-In

After configuring the default Max Rent Increase settings for a facility and updating lease documents with the appropriate tags, QuikStor automatically displays those default values during the move-in process.

Operators can control whether these values may be modified at move-in using Roles and Permissions. In most cases, organizations will restrict day-to-day managers from editing these values, ensuring consistent application of compliance rules while still allowing flexibility for authorized users.

Edit Max Rent and Max Rent Expiration on an Individual Lease

QuikStor also allows authorized users to edit the Max Rent and Max Rent Expiration on an individual lease after move-in, provided the appropriate permissions are granted.

Beyond California disclosure requirements, this capability enables powerful tenant retention workflows. For example, if a tenant expresses intent to move out due to recent rate increases, an operator can offer to lock in the current rate through a specific future date. Once agreed, the Max Rent and Max Rent Expiration can be updated directly on the lease to reflect that commitment.

This provides operators with a flexible, auditable way to support retention strategies without manual workarounds or document exceptions.

Ability to Track Private Coverage Expiration Dates

Most self-storage operators require tenants to maintain insurance or protection coverage for their stored items. Many operators offer tenant protection programs to ensure this requirement is met. However, some tenants carry qualifying coverage through homeowners insurance or other third-party policies.

With this release, QuikStor now allows operators to track private coverage expiration dates and report on that information to ensure ongoing compliance with coverage requirements. This provides greater visibility into coverage gaps, reduces manual follow-up, and helps operators maintain consistent enforcement of coverage policies across their portfolio.

Add Private Coverage Expiration Dates During Move-In or Unit Transfer

QuikStor now allows operators to capture a private coverage expiration date during the move-in process or when transferring a tenant to a new unit. This ensures that third-party coverage details are recorded at the point of transaction, without requiring follow-up data entry.

Add/Manage Private Insurance Expiration on the Tenant Record

QuikStor allows authorized users to add or update a tenant’s private insurance expiration date directly on the tenant record. This provides a centralized place to manage third-party coverage information and keep tenant records up to date over time.

New Private Coverage Report

QuikStor introduces a new Private Coverage Report that provides operators with a centralized view of all tenants who have private insurance on file. The report displays tenant contact and coverage expiration information, making it easy to identify tenants with expired or soon-to-expire coverage.

This report allows operators to efficiently manage private coverage across their portfolio and quickly identify tenants who may be out of compliance with coverage requirements.

Private Coverage Expiration Date Notification Trigger and Template Tags

Tracking private coverage expiration is valuable, but manual follow-up is not. With this release, QuikStor introduces new template tags and a dedicated notification trigger that allow operators to automatically notify tenants when their private coverage is approaching expiration.

Operators can configure automated communications such as sending an email 30 days before coverage expires, followed by additional reminders via email or SMS 10 days prior if coverage has not yet been updated. All timing, messaging, and delivery channels are fully configurable, giving operators complete control over how expiring private coverage is communicated to tenants. The private coverage expiration date is available via the {{e.pc.expdate}} tag.

Warning List (Do Not Rent)

In some cases, operators may choose not to rent to a tenant again due to prior non-payment, property damage, or other operational issues. To support this, QuikStor introduces a portfolio-wide Warning List that allows organizations to flag tenants they do not wish to rent to in the future.

During the move-in process, QuikStor automatically checks new tenants against the Warning List and alerts staff if a potential match is found, helping prevent repeat issues before a lease is executed.

With the appropriate permissions, authorized users can manage the Warning List centrally from the Corporate Panel, ensuring consistent enforcement of rental policies across all facilities.

Bulk Assignment and Removal of Coverage Plans to Leases

When introducing a new tenant protection plan or transitioning between insurance or protection providers, updating coverage across existing leases can be time-consuming. With this release, QuikStor simplifies the process by allowing operators to bulk assign or remove coverage plans directly from the interface.

Operators can select multiple leases at once and apply coverage changes in bulk, reducing manual effort and ensuring consistent coverage application across their portfolio.

Unit Audit Trail

QuikStor has extended Audit Trail functionality to unit records, providing the same level of visibility and accountability already available on tenant records.

Operators can now track who made changes to key unit information, such as unit attributes and street rates, along with when those changes occurred. This helps support internal controls, troubleshooting, and operational transparency across facilities.

Tenant Portal and Online Move-In Enhancements

This release includes a series of meaningful enhancements to the tenant portal and online move-in experience, further reducing friction for tenants while giving operators better data, improved automation, and greater visibility. Together, these updates reinforce QuikStor’s focus on delivering a modern, intuitive, and globally scalable digital experience from first interaction through ongoing tenancy.

Multi-Language Support

With this release, QuikStor introduces multi-language support for the tenant portal and online move-in experience. Initial translations include Canadian French and Latin American Spanish, allowing tenants to interact with the portal in their native language, whether that is “Effectuer un paiement” or “Realizar un pago.”

Added Ability to Capture ID During Tenant Portal Move-In

QuikStor previously introduced the ability for internal users to capture tenant identification during move-in. This release extends that capability to the tenant portal, allowing tenants to securely provide identification information as part of the online move-in process.

When using a device with a camera, tenants can capture a photo of their ID directly within the portal, streamlining the move-in experience and reducing follow-up.

Ability to Set Expected Move-Out Date in the Tenant Portal

QuikStor has long supported tracking an expected move-out date on a lease. With this release, tenants can now update their expected move-out date directly through the tenant portal, reducing manual updates and improving the accuracy of move-out forecasting.

Enhanced Google Tag Manager Data Layer Support

Based on customer and partner feedback, QuikStor has enhanced its Google Tag Manager integration to expose additional data points. This enables more robust tracking, improved analytics, and deeper insight into tenant behavior throughout the online move-in and portal experience.

Tasks Enhancements

QuikStor’s task management functionality plays a critical role in helping operators stay organized and ensure important operational work is completed on time. With this release, we have introduced some enhancements that make tasks more flexible, more actionable, and easier to manage at scale.

Ability to Act on Tasks Assigned to Others

QuikStor now supports permissions that allow users to act on tasks assigned to other team members. This capability can be applied to individual tasks or in bulk, enabling teams to reassign work, step in when needed, and keep operations moving without unnecessary bottlenecks.

Added Tenant and Unit Columns to Tasks List Exports

Tenant and unit information was previously visible on-screen but not included in task exports. With this release, tenant and unit columns are now included in PDF, CSV, and XLSX exports.

This makes it easy to print or export task lists for offline work, such as generating a list of units requiring overlocks, completing the work in the field, and then returning to mark tasks as complete in QuikStor.

Payment Screen Custom Amount Calculation

This enhancement was requested by a long-time QuikStor customer migrating from our legacy Windows-based platform to the latest QuikStor QMS.

Previously, QMS allowed operators to enter a custom payment amount and automatically calculate the resulting Paid Through Date (PTD). With this release, operators can now calculate a custom payment amount based on a specific target date instead. Users simply select the desired date, and QuikStor calculates the required payment amount.

This update streamlines payment processing and reflects QuikStor’s continued commitment to listening to customers and delivering enhancements that improve day-to-day operations.

Access Control Integrations

QuikStor continues to expand and enhance its access control ecosystem, giving operators greater flexibility when integrating with on-site gate and door systems. This release adds new access control partners and introduces enhancements to an existing integration to improve reliability and day-to-day operations.

Added StorGuard Site Access Control Integration

QuikStor now integrates with StorGuard site access control systems, allowing operators to connect gate and access management directly with tenant and lease activity in QuikStor.

Added DoorKing Site Access Control Integration

This release introduces a new integration with DoorKing access control systems, expanding the range of supported gate hardware and providing operators with additional flexibility when selecting or standardizing access control solutions across their facilities.

Added Sync Gate Control Button for SpiderDoor

QuikStor has enhanced its SpiderDoor integration by adding a dedicated Sync Gate Control button. This allows operators to manually re-sync gate and access control data when needed, improving visibility and helping quickly resolve access-related issues without requiring external support.

Document Management Enhancements

QuikStor now supports document categorization across the system. On the tenant record, documents are organized into clear categories including Delinquency, Lease Agreements, Identification, Notices, and Other, making it faster and easier to locate tenant-related documents.

In addition, while QuikStor previously supported capturing the front and back of a tenant’s identification during the move-in process, this release extends that capability to allow identification documents to be added at any time, ensuring tenant records can be kept complete and up to date.

New Reports and Report Changes

We've delivered some new reports and made some changes to existing reports with this release.

  • Added Private Coverage Report (as noted in the feature above)

  • Added Account Name to the Financial Audit Trail report

  • Renamed "General Ledger" report to "Financial General Ledger Detail"

  • Moved “Transaction Line-Item” and the “Transaction Line-Item Payment Application” reports to "Financial" category

  • Improved report generation speed

Miscellaneous Enhancements

This release includes several additional improvements that enhance performance, usability, and consistency across the system.

  • Improved overnight processing speed

  • Added signature agreement full name confirmation input field

  • Added company name to the facility owner information with associated tags for document, email, and SMS communications

  • Added confirmation modal when uploading CSV files

  • Enabled unit area attribute to support two decimal places

  • Added special slash-through styling on Unit Groups and Lead screens

  • Added the ability to save user preferences, including applied filters, search, and sort state, on Unit Groups

New API Endpoints and Enhancements
