Whenever any new functionality or permissions are delivered in a new release, the permissions associated to the new functionality are defaulted to off for all roles. This is to ensure that we don't inadvertently enable something for a user that they should not have access to. If you can't see any of the functionality explained below in your system, please make sure to have your System Administrator turn on permissions for the specific functionality. We're excited to announce yet another trial environment release! Just like the last one, this one is also a big one! A rundown of new features, improvements, and bug fixes in this release are outlined below:
Conditional Specials
QuikStor has always allowed you to control where and how specials are offered, whether that’s by individual unit, unit group, or custom logic. As vacancy shifted, however, keeping those specials aligned with demand required manual updates.
With Conditional Specials, promotions automatically adapt to real-time occupancy levels. You can define availability rules based on vacancy or occupancy for any unit group, allowing your pricing strategy to stay in sync with demand without ongoing management.
For example, if you have 100 available 10×10 Upstairs Climate Controlled units, you might configure:
3 months at 50% off when occupancy is below 70%
2 months at 50% off when occupancy is between 70% and 90%
1 month at 50% off when occupancy exceeds 90%
Once set, QuikStor continuously evaluates occupancy and applies the appropriate special, helping you drive move-ins at lower occupancy while naturally pulling back incentives as availability tightens.
Tenant Magic Link Login
While you may access QuikStor every day, most tenants do not. Many tenants only visit the tenant portal once or twice over the course of a long-term lease, often just to set up or update AutoPay. Although tenants can reset their passwords themselves, the process still adds extra clicks and friction, often turning a simple task into a frustrating experience.
To simplify access for tenants and reduce login-related issues, QuikStor now supports Magic Link Login for the tenant portal. Instead of entering a password, tenants can simply enter their email address and receive a secure login link that grants instant access.
Each magic link is time-limited and automatically expires after 15 minutes, providing a smooth experience without compromising security. This approach makes it easier for tenants to manage their accounts while reducing password resets and support burden for your team.
With this release, magic links are delivered via email. In a future release, tenants will also have the option to receive magic links via SMS.
Undo Move-In & Move-Out
Mistakes happen during busy days at the front desk. A user might accidentally move out the wrong unit, or a tenant may complete a move-in only to realize they need a different unit size moments later.
QuikStor now allows you to seamlessly undo a move-in or move-out, helping staff quickly correct common operational errors without manual workarounds or data cleanup. When eligible, the undo action restores the unit and tenant records to their prior state, keeping occupancy and reporting accurate.
To preserve data integrity, undo actions are available only on the same day and only if no subsequent transactions have occurred on the unit. For example, if a unit is moved out and then assigned to a new tenant, the original move-out can no longer be undone.
Bulk Email & Document Generation
QuikStor’s communication system is designed to automate day-to-day operations. System triggers can automatically send emails, SMS messages, or generate documents for printing and mailing, whether for delinquency notices, rate increases, or other transactional communications.
There are times, however, when you need to proactively reach tenants with a one-time message outside of automated workflows. For example, you may be installing new keypads, repaving a driveway, or performing maintenance that temporarily impacts access and requires advance notice.
With this release, QuikStor now allows you to easily send a bulk email or generate bulk documents for print and mailing to all active tenants. This makes it simple to communicate important operational updates quickly and consistently, without relying on manual, tenant-by-tenant outreach.
This functionality is intended for operational communications only. Bulk sends are limited to active tenants and cannot be used to message former or prospective tenants, ensuring the feature remains focused on service-related notifications rather than marketing campaigns.
Mail House Integration for USPS Mailing
Even in an increasingly digital world, there are still times when documents must be sent via USPS mail. This may be driven by tenant preference or by regulatory requirements in the jurisdictions where you operate. While QuikStor has long supported automated document generation through the Print Center, relying on staff to print, stuff, and mail envelopes can be time-consuming and introduces unnecessary risk of human error.
With this release, QuikStor now integrates directly with a leading mail house provider, allowing you to send USPS mail without manual handling. From within the QuikStor Print Center, you can now submit documents for First Class Mail, Certified Mail, or Certified Mail with Electronic Return Receipt, all without leaving the system.
This integration streamlines compliance-driven and tenant-requested mailings, reduces staff workload, and ensures consistent, auditable delivery of critical documents.
To enable the Mail Shop feature in your QuikStor environment, please contact our support team at [email protected]. They can provide pricing details, the mail shop agreement, and assist with setup so you can begin sending USPS mail directly from QuikStor.
On-Demand Lease eSignatures
QuikStor’s eSignature functionality has long supported capturing lease signatures during move-in, whether completed on-site or through online move-ins. In real-world operations, however, there are situations where a lease needs to be re-sent or signed after the move-in is complete. This can occur if tenant information was incorrect on the original lease, if the move-in was completed through an API integration partner, or if lease signing was intentionally skipped during the initial process.
With this release, QuikStor now supports on-demand lease eSignatures. You can resend a lease for signature at any time and track outstanding signature requests to ensure they are completed, helping you close gaps without manual follow-up or off-system workflows.
This added flexibility ensures lease records remain accurate and complete, even when move-ins do not follow the standard path.
In a future release, on-demand eSignature support will be expanded to additional document types beyond the lease agreement.
Flexible Balance Handling on Move-Out
Historically, when moving out a tenant with an outstanding balance, QuikStor required that any unpaid portion be written off. This approach was designed based on feedback from large operators who typically did not pursue collection after a tenant had gone to auction.
Over time, customer feedback highlighted the need for greater flexibility, particularly for operators who actively manage post-move-out collections. With this release, QuikStor now allows you to choose how outstanding balances are handled during the move-out process.
You can either write off the balance at move-out or keep it open for future collection. When a balance is retained, you can accept payments against it at a later date or write it off when appropriate, giving you full control over how and when delinquent balances are resolved.
Pro-Rated Paid Through Date (PTD)
Whether you bill on an anniversary basis or on the first of the month, most rental periods after move-in represent a full billing cycle. There are situations, however, where adjusting the invoice period and resulting Paid Through Date makes operational sense. This may include aligning a tenant’s PTD with their paycheck schedule or allowing a tenant to prepay through a specific move-out date that does not align with the standard billing cycle.
With this release, QuikStor now supports creating a pro-rated invoice for a partial billing period. Once the pro-rated invoice is paid, the tenant’s PTD is automatically adjusted to reflect the new date, allowing you to accommodate exceptions without manual calculations or off-system adjustments.
This functionality can be applied on a lease-by-lease basis or in bulk. Bulk updates are particularly useful when changing billing strategies, such as transitioning from anniversary billing to first of the month billing, ensuring all leases align cleanly with your updated policies.
Auto Payment After Due Date
Traditionally, tenants enrolled in AutoPay have their payment method charged on the rent due date. Based on customer feedback, some tenants prefer to schedule automatic payments a few days after the due date to better align with personal cash flow.
With this release, QuikStor now supports AutoPay scheduled after the due date, while still giving operators control to prevent misuse. At the facility level, you can define the maximum number of days beyond the due date that an AutoPay transaction is allowed to run.
For example, if the limit is set to five days, tenants may schedule AutoPay up to five days after the due date, but not beyond that window. This provides flexibility for tenants while maintaining clear operational boundaries.
When enabling this feature, best practice is to set the maximum allowable days after the due date to a value that is less than the number of days before your first late fee is assessed. This ensures flexibility does not inadvertently result in the consistent triggering of late fees.
Fee-Based Communication Triggers
QuikStor automates tenant communications across email, SMS, and documents generated for printing and mailing. In addition to a broad set of standard triggers, QuikStor has long supported custom triggers that allow you to tailor communications to your operational needs.
With this release, custom communication triggers can now be filtered to run only for leases that include a specific fee. This enhancement makes it easy to ensure that communications are generated only when they are applicable and expected.
A common use case is mailed invoices. If a tenant requests a printed invoice each month and you charge a recurring Mailed Invoice Fee to offset mailing costs, you can now configure a trigger that executes only for leases that include that fee. As a result, the Print Center is populated exclusively with invoices for tenants who have opted in and are being billed for mailed delivery.
This enhancement reduces unnecessary output, keeps communications aligned with tenant preferences, and helps ensure operational costs are recovered consistently.
Financial Tab Line Item View
Historically, the Tenant and Unit Financial tabs displayed one row per transaction, with individual line items visible only after opening each transaction. While this approach works well for many workflows, some customers prefer to review financial activity as a single, continuous ledger of line items across all transactions.
With this release, QuikStor introduces a Financial Line Item View. You can now toggle between the traditional transaction-based view and a full line-item ledger, allowing you to choose the perspective that best fits your workflow.
This added flexibility makes it easier to review charges, payments, and adjustments at a glance, while preserving the familiar transaction view for teams who rely on it.
New and Modified Reports
Coverage Roll Report
The new Coverage Roll Report provides a high-level view of insurance or tenant protection performance while also delivering detailed, lease-level insight. The report includes key coverage metrics alongside a complete listing of all leases, showing the coverage currently applied to each lease and the private coverage expiration date when applicable.
This report is designed to give operators a clear snapshot of coverage adoption and status across the facility, while also supporting deeper review at the individual lease level.
Coverage Activity Report Enhancements
We’ve made several updates to the Coverage Activity Report to improve clarity and accuracy. Data that is now available in the Coverage Roll Report has been removed to reduce redundancy and keep each report focused on its primary purpose.
In addition, the Coverage Activity Report now uses a modified cash-basis approach. This updated logic captures coverage that has been paid using a general credit or other non-standard payment method, rather than requiring a direct tenant payment. This ensures coverage activity is reflected more accurately, regardless of how payment is applied.
Miscellaneous Enhancements
Integrated Cloudflare CAPTCHA at Login
Protecting your data remains a top priority for QuikStor. We continuously monitor the platform and address potential security risks proactively. With this release, we have added a Cloudflare CAPTCHA to all login screens to help prevent automated or brute-force login attempts and further strengthen account security.
Added Coverage and Delinquency Filters to Lease List
To make it easier to locate and manage specific leases, we’ve added Coverage and Delinquency filters to the Lease List. These new filters allow you to quickly narrow results and focus on the leases that require attention, improving day-to-day efficiency.
Added Warning List Modal to Transfer Process
In a previous release, we introduced Warning List functionality to alert users when attempting to move in a tenant who appears on a Warning or Do Not Rent list. With this release, that protection has been extended to the transfer process. If an existing tenant attempting to transfer units is on the Warning List, users will now be notified via a pop-up alert before completing the transfer.
Improved Support Chatbot Security
As part of our ongoing security initiatives, we’ve enhanced the security of the QuikStor support chatbot. These improvements ensure that only authenticated users can interact as themselves, preventing third parties from impersonating users and helping safeguard sensitive information.
General Bug Fixes & Improvements
Last, but certainly not least, we fixed a number of issues in the software. A big thanks to all of you who reported bugs so we can fix them as quickly as possible.
