Phone Center: Call History and Recordings

Understand the Phone Center call history: what each column means, call statuses, when recordings appear, and how to call or text tenants.

Overview

The Phone Center gives you a complete record of the calls made and received across your facilities. For each call, you can see which facility and tenant were involved, when it happened, who handled it, how it ended, how long the caller waited, and - when configured - the audio recording.

You can also reach a tenant directly from the Phone Center page, either by texting them, emailing them, or calling them back. It is a paid feature available at the Corporate level, so it may not be enabled for every account.

How It Works

The Phone Center is the Corporate level home for your facilities' full call history. It works as both a record and a starting point: the table logs every incoming and outgoing call, and each row lets you contact the tenant without leaving the page.

Because Phone Center is a paid feature, the QuikStor Support team enables it for your account before you can use it. Once it is enabled, what you can see and do still depends on your permissions:

  • At the Corporate level, you need permission to Read Call History.

  • At the Facility level, you need permission to Manage Calls and Read Call History.

ℹ️ Info: Both permissions - Read Call History and Manage Calls - are set at the Corporate level under Users in the menu.

If the Phone Center or some of its calls do not appear for you, check these permissions with our Support team.

Accessing the Phone Center

You can open the Phone Center at the Corporate level in two ways once it is enabled for your account. Both lead to the same call history view:

  • From the sidebar menu.

  • From the Phone Bar in the bottom left corner.

Reading the Call History Table

The call history table lists every call as a single row or a line item, with one column for each detail of the call. The columns are:

  • Facility - The facility that called the tenant or was called by them.

  • Tenant - The person on the call. This can be a current tenant, a former tenant, or a prospect. If the caller is not in the system, this column shows No Caller ID.

  • Date and Time - When the call took place.

  • Call Type - The direction of the call, either Incoming or Outgoing.

  • User - The person who handled the call, such as a facility manager or district manager.

  • Status - How the call ended (see Call Statuses below).

  • Waiting - How long the caller waited before the call was handled or before they ended the call since there was no answer.

  • Audio - The call recording, when one is available (see When Recordings Are Available below). Each recording can be played, paused, fast-forwarded, and rewound, one at a time.

ℹ️ Info: If you want to see the call history table per tenant, navigate to the Facility level which displays the said table under Tenants Communication tab.

Understanding Call Records

The Status and Audio columns each depend on a few specific conditions, so this section explains what their values mean and when they appear.

Call Statuses

The Status column shows how a call ended. A call in the Phone Center has one of four statuses:

  • Completed - The call connected and has ended.

  • Cancelled - One party ended the call while it was still in the queue, before it connected.

  • Voicemail - The call went unanswered and a voicemail was left, either by a manager or by the caller.

  • No Answer - The call went unanswered and no voicemail was left.

When Recordings are Available

The Audio column shows a recording only when one exists for that call. A recording is available when both of these conditions are true:

  • Support team enabled call recording in your account's phone configuration.

  • A call actually took place.

If either condition is not met, the Audio column is empty for that call.

Contacting a Tenant from the Phone Center

You can reach a tenant directly from any row in the call history table, without opening their profile. The Phone Center supports texting, emailing, or calling the tenant back.

If you want to see a tenant's contact details, hover over the tenant's name in the Tenant column. A card appears showing the tenant's name, phone number, and email, along with options to Send an SMS or Send an Email.

When calling a tenant back, click the tenant's phone number from the pop-up card. An active element opens in the Phone Bar showing the tenant's name and number, where you can place the call or close the active element, i.e., cancel the call.

FAQs

1. Why don't I see the Phone Center?

The Phone Center is a paid feature that the QuikStor Support team enables per account. If it doesn't appear, your account may not have it enabled, or you may lack the Corporate level permission to Read Call History. Contact our Support team.

2. Why is the Tenant column showing "No Caller ID"?

"No Caller ID" appears when the caller is not in the system - for example, someone who isn't yet a tenant or prospect. The call is still logged, but it cannot be matched to an existing contact.

3. Why is there no recording for some calls?

A recording appears only when call recording is enabled in your account's phone configuration and a call actually took place. If either condition is not met, the Audio column is empty for that call.

4. Can I contact a tenant directly from the Phone Center?

Yes. Hover over a tenant's name to send an SMS or an email, or click their phone number to call them back from the call bar at the bottom of the screen.
