How to Take Incoming Calls

Set up Phone Center permissions, go online, and answer incoming tenant calls from the Phone Bar.

Overview

Phone Center is a feature that lets you receive and manage incoming tenant calls directly from the Phone Bar, without leaving the QuikStor platform. This article walks you through granting the right permissions, setting your status to online, and handling a call from answer to hang-up. After reading, you will be ready to take incoming calls and optionally process payments while a call is in progress, show, and create leads.

Prerequisites

Before you start managing incoming calls, confirm the following:

  • The Support team has enabled Phone Center for your company. Phone Center is a paid feature, so if it isn't enabled yet, contact the Support team to request it.

  • You have access to Corporate level setting, including the ability to edit Roles and Permissions.

Step 1: Edit Roles & Permissions on the Corporate tab

Phone Center access starts at the Company level, where you grant the Read History permission so the selected role can view call activity across the company. You set this on the Corporate tab of Roles & Permissions.

  1. Log in to the QuikStor app.

  2. Navigate to the Users in the main menu and select Roles & Permissions.

  3. Roles & Permissions page loads with a list of all roles within the company.

  4. Click on the role you want to assign permissions to (e.g., District Manager).

  6. Navigate to Phone Center and enable the Read History permission either by clicking on the permission itself or on the Enable all button.

  7. Navigate to the top right corner and click on the Save Permissions button - the message "Role District Manager updated successfully." appears.

Step 2: Edit Roles & Permissions on the Facility tab

Answering calls requires Facility level access as well, so the next step is to grant the Manage Calls and Read History permissions on the Facility tab. Once these are saved, the Phone Bar appears at the bottom of the screen.

  1. Navigate to the Facility tab you want to edit permissions for (e.g., AlphaHoldings).

  2. Navigate to Phone Center and enable the Manage Calls and Read History permissions either by clicking on the permissions or on the Enable all button.

  3. Navigate to the top right corner and click on the Save Permissions button - the message "Role District Manager updated successfully." appears at the top right corner and the Phone Bar appears at the bottom of the screen.

ℹ️ Info: The Phone Bar stays visible on every page once permissions are granted.

Step 3: Set Availability to Online and Enable Microphone Access

Before you can receive calls, you need to set your status to Online and allow your browser to use the microphone.

  1. Navigate to the left corner of the Phone Bar and click on the Go Online button.

  2. A confirmation modal appears asking "Are you sure you want to go Online?".

  3. Click the Confirm button.

  4. Going Online prompts the browser for microphone access - select Allow while visiting the site.

  5. The status availability changes to Online.

Step 4: Manage Incoming calls

With your status set to Online, you are ready to take calls as they arrive. When a call comes in, you answer it from the Phone Bar and the active call element opens.

  1. When a call arrives, click Answer Next Call in the phone bar.

  2. Active call element appears in the middle of the Phone Bar displaying caller name, call duration, Make a Payment button, and Hang-up button.

Step 5: End the Call

When the conversation is finished, you end the call from the active call element. The Hang-up button closes the call and returns the Phone Bar to its default state.

  1. To end the call, click the Hang-up button in the active call element.

ℹ️ Info: Optionally, you can process payments while an incoming call is still in progress. You will be redirected to the Make a Payment page. Additionally, if the caller is a former tenant or a prospect you will be able to Show Leads from the active call element, and Create Leads if the caller is Unknown.
