Understanding Delinquency Tags

Learn what delinquency tags are, how QuikStor replaces them with tenant data, and how they power delinquency emails, SMS, and documents.

Overview

Delinquency tags are placeholders that QuikStor replaces with real values, such as tenant, lease, or unit details. Because of this, one template serves every tenant at every facility. Staff write the message once, instead of editing it for each case.

This article explains what the delinquency tags are and where to find them. To build each template step by step, see the full guides linked at the end.

How Delinquency Tags Work

A tag is a placeholder written between double curly braces. When QuikStor generates a message, it replaces each tag with a value. That value can be a tenant's first name, last name, unit number, balance due, and more.

Delinquency tags are a special tag group used for a delinquency process. During this process, notices go out automatically when a tenant falls behind on rent. Each one notice pulls a specific piece of information, such as:

  • who the tenant is,

  • which unit they rent,

  • how much they owe,

  • how late the payment is,

  • how to reach the facility.

Static Content vs. Dynamic Content

Static content is text with fixed values. On the other hand, dynamic content uses tags in place of those values.

The main job of a tag is to stand in for a fixed value. Instead of typing a name, an amount, or a date, you insert the tag that represents that detail. QuikStor fills in the value when it creates the message.

The two content types behave very differently once QuikStor starts sending messages automatically. Compare the examples below:

A message with static content

The message above is correct for exactly one tenant, one unit, and one moment in time. Sending it through the automated delinquency process causes these problems:

  • Every tenant receives a notice addressed to one specific tenant.

  • Sharing one tenant's personal and financial details with others raises privacy concerns.

  • Staff write a new message for every tenant, which defeats the purpose of automation.

The message above combines static and dynamic content. Every tenant sees their own name, unit, facility, and balance, accurate at the moment QuikStor creates the message.

Where to Find Delinquency Tags

Finding Delinquency Tags

QuikStor gathers all tags in a tag list at the Corporate level. The tag list sits in the same section where you create templates. However, reaching the tag list page is not enough. You need to go further to find delinquency tags for your specific templates. Follow the path below to find delinquency tags:

  1. Use the facility switcher at the top of the page. Select 'Corporate'.

  2. Navigate to Templates and choose Tag List. The Tag List page contains all available tags within the application.

  3. Choose Delinquency Tags under the Template Category section.

The Delinquency Tags template category organizes tags into four subsections:

  • Send To Print Center - Generates documents for physical delivery.

  • Send Email - Generates Emails.

  • Send SMS - Generates text messages.

  • Recurring Apply Fee Notice - Generates monthly fee notices.

Navigating through Delinquency Tag Groups

Before you continue, you need to know that the same tag can appear in more than one category. This is why QuikStor organizes tags into tag groups. All four delinquency categories share seven tag groups:

  • Company Tags - add your company name and contact details. They show the tenant who the notice comes from.

  • Date Time Tags - add the date and time the message is sent. They show the tenant when the notice went out.

  • Delinquency Tags - add how late the tenant is and how much they owe. They form the core of a past-due notice.

  • Tenant Tags - add the tenant's name, mailing address, and contact details. They make the notice reach the right person and feel personal, not generic.

  • Facility Tags - add the facility name, phone number, and address. They tell the tenant which location the notice comes from, and how to reach you to pay or ask a question.

  • Lease Tags - add the balance the tenant owes now and the paid-through date. They give the tenant the exact numbers for their account.

  • Unit Tags - add the unit number and size. They tell the tenant which unit the notice is about, which helps when a tenant rents more than one unit.

Copying Delinquency Tags

You can copy a tag from the Tag List page and paste it into your message. To find and copy a delinquency tag:

  1. Make sure the Delinquency template category is selected.

  2. Choose one of the seven delinquency tag subcategories.

  3. Choose a tag you want to use in your message. For example, {{d.now}} tag.

  4. Hover over the tag to see its full name in a tooltip.

  5. Click the copy icon to copy the tag. Then paste it into the text editor.

Where to Copy Delinquency Tags

Once you know which tags to use, you are ready to create your delinquency message. You can write a delinquency message in:

  • QuikStor text editor (recommended because of tag validation).

  • Operating system's text editor.

We recommend using the QuikStor editor because it can detect invalid tags as you type, helping you avoid errors. However, if you prefer, you can also compose your message in a text editor on your operating system and copy it into QuikStor later.

Send Document

The Send To Print Center category holds the tags for printed delinquency notices - legal letters and other formal documents delivered on paper.

You compose the document in any text editor on your computer, place the tags where the tenant's details belong, then attach the saved file to a document delinquency notice template.

You build the message in the QuikStor text editor and add the tags you want the tenant to see.

The Send SMS category holds the tags for delinquency text messages.

You write the text in the QuikStor text editor and keep it short, so the tenant can act fast - usually the unit, the balance, and a phone number.

Tag Validation

Tags only work when they are typed exactly right. If a tag is broken, QuikStor cannot fill it in, so the notice goes out with a space where that detail should be. The QuikStor text editor checks your tags as you type and flags anything that would not fill in.

The editor shows two kinds of alerts. It marks the tag itself and adds a message below the editor:

  • Errors appear in red. These are tags that will not fill in. You must fix them before you can save the template.

  • Warnings appear in orange. These point out something to check, such as a required tag that is still missing.

Here are the problems the editor catches most often:

  • Spaces inside the braces. A tag like {{e.fname }} has a space before the closing braces, which breaks it. Remove the space so it reads {{e.fname}}. The editor suggests the correct tag for you.

  • Formatting on part of the tag. If one part of a tag is bold, colored, or in a different font, the tag breaks even though it looks right. Delete it and retype the whole tag as plain text.

  • A day adjustment on a tag that is not a date. The +1 or -1 adjustment only works on date tags. On any other tag, such as {{esign+1}}, QuikStor ignores it and leaves the field blank.

  • A tag name that does not exist. A misspelled tag like {{f.namee}} is not a real tag, so QuikStor leaves it blank. Compare it against the Tag List and fix the spelling.

  • A required tag that is missing. Some templates need a specific tag to work. For example, an email template that uses e-signing must include the {{esign}} tag; until you add it, the editor shows an orange warning.

FAQs

Do I need to write a separate message for each tenant? No. You write one template with tags, and QuikStor fills in each tenant's own details when it generates the message. One template serves every tenant at every facility.

Where do I write the message - in QuikStor or in a text editor? It depends on delivery. For a printed notice, write the document in any text editor on your computer, then attach it to a document delinquency template. For an email or SMS, write the message directly in the QuikStor text editor.

Can I use the same tag in more than one category? Yes. A tag can appear in several categories because it can be used in several places. This is why QuikStor organizes tags into shared tag groups.

What happens if a tag has no value to fill in? QuikStor prints nothing in its place, and the surrounding text closes the gap. For example, if a tenant has no middle name, the middle-name tag leaves no space behind.

Why did a notice reach a tenant with a blank space where a detail should be? A broken tag caused it. When a tag is misspelled, has extra spaces, or has formatting on part of it, QuikStor cannot fill it in and leaves the field blank.
