Warning List Overview

The Warning List helps your team identify current, former, or prospective tenants who may pose a rental risk. When processing a rental that matches someone on the list, QuikStor displays a warning so staff can review the record before proceeding.

The Warning List in QuikStor is a screening tool designed to help your team avoid renting to individuals who may present a higher risk based on prior rental history or other concerns. It allows you to flag a current, former, or prospective tenant and record the reason they were added to the list.

This feature can help your staff make more informed rental decisions and reduce the likelihood of future issues such as unpaid rent, abandoned property, excessive cleanup costs, or other undesirable tenant behavior.

How the Warning List Works

When a person is added to the Warning List, QuikStor stores identifying information from that individual’s record along with the reason they were flagged. Later, when a user processes a move-in or transfer, QuikStor checks the tenant information entered on the record against the Warning List.

If QuikStor finds a potential match based on information such as the person’s:

  • Name

  • Phone number

  • Email address

  • Address

the system will display a warning so the user can review the match before continuing with the rental.

This gives your team an opportunity to verify whether the person is someone you may not want to rent to again.

Why Use the Warning List

The Warning List is useful for identifying individuals who have caused problems in the past and may create similar issues again. Common examples include:

  • Tenants who were consistently late on rent

  • Tenants whose unit or units were auctioned due to non-payment

  • Tenants who left behind excessive trash, abandoned items, or damage

  • Individuals who created losses for the facility and where recovery was not possible

  • Prospective renters your team has determined should not be approved for future rentals

Using the Warning List helps protect your business by giving staff advance notice when a person may have a history of problematic behavior.

Adding Someone to the Warning List

You can add a current, former, or prospective tenant to the Warning List. When doing so, you will be required to enter a reason explaining why the person is being added.

Providing a clear reason is important because it helps other users understand the concern and make a more informed decision if a future match occurs.

Managing the Warning List

The Warning List can be managed from the Corporate View. From there, authorized users can:

  • View individuals currently on the Warning List

  • Review the reason each person was added

  • Remove someone from the list when appropriate

This makes it easy to maintain the list over time and ensure it remains accurate and useful.

Important Note

A Warning List match is intended to alert the user to a potential concern. Staff should review the information carefully and confirm the match before deciding whether to proceed with the rental. Being on the warning list will NOT restrict the user from renting the unit after clearing the Warning List notification.
