Import Lease Rate Increase Schedules in Bulk

Learn how to change the Rate Increase Schedule on many active leases at once using a CSV template.

A Rate Increase Schedule is a plan that defines when and by how much rent will increase. At the Unit level, it is only a default - it does not change a current tenant's rent. It takes effect at the next move-in, when the system copies the schedule to the new lease.

On the other hand, a Lease Rate Increase Schedule is the same plan applied to an active lease. It affects the current tenant as soon as it is applied, and rent increases are calculated from it.

In this article, you will learn how to apply many rate increase schedules to the Lease Rate Increase Schedule template in bulk.

Prerequisites

  • Unit - Read Unit Rate Increase Schedule and Edit Unit Rate Increase Schedule permissions.

  • Lease - Delete Scheduled Rate and Schedule In Place Rate permissions.

  • At least one Rate Increase Schedule exists at the facility.

  • The units in the import already have an active lease (a current tenant).

Step 1: Open the Units Page

Begin on the List of All Units page.

  1. Search a facility using the Facility Switcher.

  2. Click Units in the side menu.

The List of All Units page opens and displays every unit at the selected facility.

Step 2: Download the Lease Rate Increase Schedule Template

The CSV template lists units at a facility and provides a column for the schedule name to apply to each active lease.

  1. Click the Export icon (down arrow) in the upper-right corner.

  2. Click Lease Rate Increase Schedule in the Export Templates dropdown. The CSV file is downloaded to the device.

💡Tip: Export Templates downloads a blank template. Export Data downloads the same template pre-filled with the schedules already applied to the active leases.

Step 3: Review the CSV Columns

The downloaded template contains the following columns.

The identifier of an existing Unit at the Facility. The system uses this value to match each row to a lease.

The Unit Group the Unit belongs to.

The category of the Unit (for example, Storage, Parking, Office).

RateIncreaseScheduleTemplate

Optional

The name of the Rate Increase Schedule to apply to the active lease.

⚠️Warning: The Lease Rate Increase Schedule controls the current tenant's increases, even when the unit has a different default schedule. A Unit Rate Increase Schedule import does not change an active lease - it applies only to future tenants.

Step 4: Fill in the CSV Template

Enter a schedule name in the RateIncreaseScheduleTemplate column for each lease that should receive a schedule.

  1. Enter an existing Rate Increase Schedule (for example, 3-6-12 months).

  2. Leave the cell empty for any lease that should not have a schedule.

  3. Click Save to confirm the changes.

⚠️Warning: RateIncreaseScheduleTemplate is the only optional column. Leaving its cell empty removes the schedule from the lease rather than leaving it unchanged. This is a risk with Export Data templates, where the cell is already filled in.

Step 5: Upload the CSV File

Upload the completed Lease Rate Increase Schedule template from the List of All Units page.

  1. Click the Import Data icon (up arrow) in the upper-right corner of the page.

  2. Click Lease Rate Increase Schedule in the Import Data dropdown.

  3. In the Import Data window, drag the populated CSV file into the upload area or click Browse to select it from the device.

  4. Click Upload File.

A preview screen opens and shows every row in the file.

Step 6: Review the Preview

The preview screen shows each row before the import is applied. Use it to check values and correct errors.

  1. Review the Rate Increase Template value in each row.

  2. Click the dropdown in any Rate Increase Template cell to select a different Rate Increase Schedule.

  3. Click the minus icon at the end of a row to remove that row from the import.

Step 7: Complete the Import

  1. Click Upload CSV in the lower-right corner of the preview screen.

  2. In the confirmation dialog, click Approve Import to apply the changes.

The Rate Increase Schedule is applied to each listed lease. Each current tenant now follows the scheduled rent increases defined by the applied schedule.

ℹ️ Info: The Lease Rate Increase Schedule is a snapshot. The system copies the schedule's rules when it is applied to the lease. Editing the schedule under Revenue Management later does not change leases that already use it.
