AI Talk to Your Data

Ask plain-language questions across all your facilities and get instant answers on occupancy, payments, tenants, and more.

Overview

AI Talk to Your Data lets you type a question about your facility data and get an answer back in seconds. You do not build a report or open several screens - you ask, and the answer comes back as text, a table, a list, or a chart.

The feature runs at the Corporate level, so it reads across every facility in your company. It allows managers to get quick insights into their operations. They can ask about occupancy rates, payment status, tenant information, delinquency, move-ins, move-outs, and more.

ℹ️ Info: AI Talk to Your Data is read-only. It can find and show your data, but it cannot create, change, or delete any record.

Key Concepts

This section defines the key terms used in this article to describe the AI Talk to Your Data feature.

  • AI Talk to Your Data: The feature that answers plain-language questions about your facility data. In the left sidebar, the menu item is named Assistant, and the page header reads Talk to Your Data.

  • Chat: One conversation thread. A chat keeps its own history, so the AI remembers what you asked earlier in that same chat.

  • Question: What you type to the AI. A question can be about occupancy, payments, tenants, units, or any other data in your system. You may also see a question called a prompt.

  • Response: The AI's answer to a single question. A response can appear as text, a table, a list, a chart, or several of these at once.

  • Report: A response you have saved. Saved responses appear under the Reports tab, in the Saved Reports list.

  • Read-Only: The AI can only show you data. It cannot create, change, or delete anything in your system.

How It Works

The AI Talk to Your Data feature uses a large language model (LLM) to understand your questions and find the information you need.

The AI does not read a single report, and it is not limited to one facility. It searches across several reports at once and across every facility in your company, then joins the pieces into one answer.

AI Talk to Your Data works in three steps:

  1. The AI reads across reports and facilities. It searches occupancy, payment, move-in, and tenant data across every facility, not one report or one facility at a time.

  2. The AI joins the data. It combines the pieces it finds into a single, complete, and easy-to-read answer.

  3. The AI returns a response. It picks the format that fits your question, such as a text piece, table, list, or chart, and sometimes shows the same answer in more than one format.

ℹ️ Info: For some questions, the AI shows one answer in several formats at once. For example, ask why tenants moved out last month, and you may get a summary, list, and chart in the same response.

Understanding the AI Talk to Your Data Screen

When you open the AI Talk to Your Data feature, you see a screen divided into two main parts: Chat & Report History Panel and Main Chat Area.

Chat & Report History Panel is located on the left side of the screen and contains:

  • Talk to Your Data – The title at the top of the panel.

  • Chats – A button that lists your chats.

  • Reports – A button that lists your saved reports.

  • Recents – A label showing your most recent chats.

  • List of recent chats – Each chat appears as a clickable item.

  • New Chat – A button that starts a new chat.

The Chats button is selected by default and highlighted in blue, so you see your chat history first. Before you ask anything, you will see a message in the Chat & Report History panel: "No conversations yet. Ask a question about your data and your chats will show up here".

Once you start typing prompts, the chat history panel collects all your conversations. From there, you can reopen any of them. The New Chat button appears at the end of the panel and lets you start a new conversation.

If you click the Reports button, the screen view switches from Chats to Reports. Any saved responses appear under Saved Reports. If you have not saved any, the Saved Reports list is empty.

Main Chat Area

The Main Chat Area is the large center section, and it is where you ask the AI questions and read the answers. It shows:

  • "Good [Morning/Afternoon/Evening] [Your Name]" – A greeting with your name at the top.

  • "Your data, one question away." – A short description of the feature.

  • "Ask anything about occupancy, payments, or tenants to get started." – Guidance on what you can ask.

  • Input box – a place where you type your questions.

Input Box

The input box sits at the bottom of the Main Chat Area and is where you enter each question. It contains:

  • The placeholder text "Ask about your data…", which tells you what to do.

  • A text field where you click and type your question.

  • A send button, which you click (or press Enter) to send the question.

  • Suggested questions, which you can select instead of typing your own.

How the AI Finds Your Answers

When you ask a question, the AI follows a simple process to find and deliver the information you need:

  • Thinking – The AI reads your question to understand what you are looking for.

  • Understanding your question – The AI looks for keywords and phrases to figure out exactly what information you need.

  • Finding the right information – The AI searches through your facility's information to find what you need.

  • Reading your company information – The AI reads the actual numbers, dates, names, and other details to prepare your answer.

  • Checking the results – The AI checks the information to make sure it is correct and complete.

  • Preparing the answer – The AI formats the answer as a piece of text, table, chart, or list based on what is most helpful for your question.

ℹ️ Info: The whole process takes a few seconds. The AI works quickly to get you the information you need without any delay.

Response Formats

The AI can present information in several formats. The format depends on what you ask and what is most helpful for your question.

Text Summary

A text summary is a plain-language explanation of the information. The AI uses this format for simple answers that do not need a table or chart.

Example Question: "Is there a unit with the number 1,000 in the facility?"

Answer: "No - there is no unit numbered 1,000 (or 1000) at the facility. I found no matching unit in the current unit list."

When to use: For a quick, simple answer.

Table

A table shows multiple rows of information in a structured format. The AI uses this format when you need to see several items at once, such as a list of tenants or units.

When to use: For a list of items with multiple details.

List

A list shows items in a bulleted or numbered format. The AI uses this format for simple lists where you just need to see the items without extra details.

Example Question: "How much money is owed to us right now, by charge type?"

Answer: "Right now you're owed about **$709,188** in total across all facilities.

By charge type:

  • Rent – $471,974.28 (2,578 open charges) - the bulk of what's owed

  • Insurance – $207,811.50 (713 charges)

  • Recurring fees – $20,036.32 (1,284 charges)..."

When to use: For a simple list of items.

Chart

A chart shows information visually, such as a bar chart or pie chart. The AI uses this format when you need to see trends, comparisons, or distributions.

When to use: For patterns or visual comparison.

Using the Feature

This section explains how to use the AI Talk to Your Data feature to ask questions and get answers.

Accessing the Feature

AI Talk to Your Data sits under Reports at the Corporate level; this is why it can answer for any facility in your company, not just the one you were last viewing. To open it, select Corporate in the Facility Switcher, and then:

  1. Look at the left sidebar.

  2. Find Reports and click it.

  3. From the list that appears, click Assistant. The AI Talk to Your Data page opens.

ℹ️Info: If Assistant is hidden, your account may be missing the permission that grants access. Contact your administrator to confirm.

Asking a Question

Type your question in the input box at the bottom of the Main Chat Area. You can ask across many topics - for example, "Why did tenants move out last month?" This is a company-wide question, so the answer includes every facility.

To narrow the results to one location, name the facility in your question - for example, "Why did tenants move out last month at [Facility Name]?"

Once you write or select a suggested question, press Enter on your keyboard or click the Send button.

Once you send the question, the chat is saved under Recents so you can reopen it later.

You do not need perfect grammar or exact terms. The AI reads casual wording and small typos and still returns an answer.

💡Tip: The clearer your question, the more accurate the answer. Name the facility, the time period, and the exact metric you want.

ℹ️ Info: You can ask questions in multiple languages. The AI Talk to Your Data understands and responds in English, Spanish, French, and other major languages.

Reviewing the Response

For a single question, the AI may return the answer in more than one format, so you can read the version that suits you. Therefore, if you ask "Why did tenants move out last month?" the AI might show paragraphs, lists, and charts at the same time.

Continuing the Conversation and Editing Results

The most powerful part of the AI Talk to Your Data feature is that you can continue the conversation and refine the results. If you are interested in the data, you can ask follow-up questions or ask the AI to change the format.

You are not limited to the first answer. You can:

  • Ask follow-up questions to dig deeper into the information.

  • Ask the AI to change the format (e.g., "Show me this as a table instead of a chart").

  • Ask the AI to exclude certain data (e.g., "Don't show me Dispute and Auction columns").

  • Ask the AI to include more details (e.g., "Show me the tenant names too").

ℹ️ Info: When you continue a conversation, the AI remembers what you asked before. This means you can build on previous answers without starting over.

💡Tip: If the response is not what you expected, you can rephrase your question or start a new chat. Starting a new chat helps you keep a cleaner history for later review.

Starting a New Chat

If you want to create a new topic, start a new chat. This clears the conversation and gives you a fresh start. To start one, select New Chat in the Chat & Report History Panel. The Main Chat Area clears, the greeting returns, and you can ask a new question.

ℹ️ Info: When you start a new chat, the AI will not have access to your previous conversation. Each chat is independent.

Saving Chats

Every new chat is automatically saved. There are no required actions from your side. There is no limit to how many chats you can have.

Here is what you can and cannot do with your saved chats:

  • Read – You can open and view any of your past chats from the list. Once you click on a specific chat, you can continue the conversation.

  • Update (not possible) – You cannot change or edit a chat after it has been saved. The conversation is stored exactly as it happened.

  • Delete (permanent) – You can delete a chat if you no longer need it. Hover over the chat name you want to delete; the X icon appears on the right side. Click the icon to delete it.

⚠️Warning: Deleting a chat removes it permanently. If you think you might need the conversation later, keep it instead of deleting it.

Saving Reports

Unlike chats, which are saved automatically, reports must be saved manually. Saving a report allows you to quickly access it again later and re-run it with the latest data.

To save an AI response as a report:

  1. Locate the AI response you want to save.

  2. Click the Save as Report button at the bottom of the response.

  3. Enter the Report Name in the Save as Report window.

ℹ️ Info: The Save as Report button appears at the end of every AI response. This means you can only save the entire response as a report. You cannot save only part of a response.

When you click a saved report, it opens with a detailed view:

  • Report Title – The name you gave the report. Read-only.

  • Report Information – Shows Template, Status, and Updated fields. Automatically generated and read-only.

  • Report Options – Includes the Facilities dropdown (always present) and additional fields that change based on the report type (e.g., unit numbers, date ranges). You can use these options to change the original preferences and manipulate the data.

  • Report Actions – Three buttons: Reset (reset filters), Explain report (get an explanation), and Run report (pull the latest data). Interactive. Use Reset to clear the inputs. Use Explain report to ask new questions related to the report. Click the Run Report button to show the results in this window.

Copying Reports

Every AI response can be copied to your clipboard. This is useful when you want to paste the information elsewhere, such as into a Word document, email, or another application.

ℹ️ Info: When you copy a response, you copy the entire response. You cannot copy only part of a response using this method.

What the AI Cannot Answer

The AI can answer many questions about your facility data, but it has limits. Here is what it cannot do:

  • External data – The AI only knows your facility data. It cannot answer questions about competitors, market trends, or ad performance.

  • Predictions – The AI reports on existing data. It cannot predict future earnings or give business advice.

  • Actions – The AI is read-only. It cannot lock units, send messages, or make changes to your system.

  • Vague questions – The AI needs clear, specific questions. "Which is my best facility?" is too vague. Instead, ask "Which facility has the highest occupancy?"

  • Non-storage data – The AI only knows about storage facility data. It cannot answer questions about HR, suppliers, or other business areas.

Tips for Getting the Best Results

The AI reads everyday language, so you can ask the way you would ask a colleague. These habits get you the most accurate answers:

  • Be specific – Include facility names, time periods, and exactly what you want to know.

  • Ask about what exists – The AI only reports on data in your system.

  • Be clear – Avoid vague words like "best" or "doing well." Use specific metrics instead.

  • Keep it focused – Ask about one topic at a time.

  • Ask follow-up questions – You can refine and adjust the answers.

  • Use natural language – No need for perfect grammar or technical terms.

  • Rephrase if needed – If the AI doesn't understand, try asking differently.

  • Start a new chat for new topics – Keeps your history organized.

FAQ

  1. Can AI Talk to Your Data change, edit, or delete my records?

    No. AI Talk to Your Data is read-only. It can find and show your data, but it cannot create, edit, or delete records, lock units, or send messages. To change data, use the normal QuikStor screens.

  2. Does the AI answer for one facility or all of them?

    Because AI Talk to Your Data runs at the Corporate level, it reads across every facility in your company. If your question does not name a facility, the answer covers all of them. To limit the answer to one location, name the facility in your question - for example, "occupancy at [Facility Name]."

  3. Why can't the AI answer my question?

    The AI only answers questions about your storage facility data. It cannot answer vague questions such as "Which is my best facility?", questions about outside data such as competitors or market trends, predictions about future earnings, or non-storage topics such as HR or suppliers. Ask again with a specific metric, facility, and time period.

  4. Where do I find AI Talk to Your Data?

    It is placed under Reports at the Corporate level. Select Corporate in the Facility Switcher, open Reports in the left sidebar, then select Assistant. If Assistant is hidden or greyed out, your account may be missing the permission that grants access - ask your administrator.

  5. How do I save an answer so I can use it later?

    Select Save as Report at the bottom of the response, enter a Report Name, and select Save Report. The saved answer appears under Saved Reports, where you can re-run it any time to pull the latest data. You can save only the whole response, not part of it.

  6. What is the difference between a chat and a report?

    A chat is a conversation, and it saves on its own under Recents. A report is a single response you save on purpose with Save as Report; it appears under Saved Reports. You cannot edit a saved chat, but you can re-run a saved report with different options to refresh the data.

  7. Can I copy an answer into an email or a Word document?

    Yes. Select the Copy icon next to the Save as Report icon to copy the whole response to your clipboard, then paste it where you need it. You can copy only the whole response, not part of it.

  8. Can I ask in a language other than English?

    Yes. AI Talk to Your Data reads and answers in English, Spanish, French, and other major languages.
