Understanding the Unit Setup Tab

A complete reference to the Unit Setup tab: the settings it holds for a unit, and what changes depending on the unit's state.

Overview

The Setup tab is where you configure a single storage unit before it becomes available for Move-In and during its rental life. From this tab, you can set some of the unit's details, fees, coverage plans, signing documents, and reporting, and you control the unit's condition and online availability. The Setup tab looks the same for every unit state, so you can manage a vacant (VAC), occupied (OCC), reserved (RES), company (COM), unavailable (UNA), or delinquent (DLQ) unit from the same layout. In addition to these, a unit can be damaged and unrentable. Only a few elements change depending on the unit's state, and those differences are described below.

How the Setup Tab Works

The Setup tab applies to one unit at a time and acts as that unit's configuration hub. Every unit has a state, shown as a colored badge next to the Unit Number at the top of the Setup tab. The available configuration options are the same regardless of state. In other words, the state changes what you would typically do on the tab, not what the tab contains.

If a unit is not set up, a red dot appears next to the Setup tab and you get the message that the unit is not set up when you hover over the tab.

The Setup tab is organized into a main panel and a right-hand panel. The main panel holds:

  • Unit Details

  • Fees & Security Deposit

  • Coverage, Auto-Included Items

  • Unit Documents

  • Three buttons: Edit Unit, Copy To Unit, and Copy From Unit

The right-hand panel holds:

  • Delinquency Template,

  • Unit condition controls: Unit is not Damaged and Unit is Rentable

  • Online availability toggles: Available for Rental Online and Available for Reservation Online

ℹ️ Info: A unit always shows the same Setup layout. If a section is empty, it means nothing has been assigned to the unit yet, not that the section is unavailable for that unit.

Unit Details

The Unit Details section at the top of the Setup tab shows the unit's core attributes and gives you links to edit some of them. The fields in this section are:

  • Category - The unit category, such as Storage, Locker, etc.

  • Unit Group - The Unit Group the unit belongs to, such as 10×10 1st Fl DU Storage.

  • Unit Attributes - The unit's physical attributes, such as Class, Area, Width, Length, Floor, Locality, etc. When a unit has more attributes than fit on one line, a +number link reveals the rest.

  • Schedule Rate Increase - Select Add Rate Increase to apply a pre-defined rate increase schedule to the unit (configured in the Revenue Management under Rate Increase Schedule).

  • Desirability Rank - Select Add Desirability Rank to assign a desirability rank to the unit.

  • Billing Period - The unit's billing cycle, such as Monthly or Custom. Select Edit to change it.

Above Unit Details, you can also select Edit Unit to change the unit's basic information, Copy To Unit to copy this unit's configuration to another unit, or Copy From Unit to copy another unit's configuration onto this one.

Fees and Security Deposit

The Fees & Security Deposit section lists every charge type you can attach to the unit. Any fee may or may not be assigned to a unit, and which fees are assigned has nothing to do with the unit's state. Add a fee by selecting the + icon, or change an existing fee by selecting the pencil icon. The charge types are:

  • Security Deposit - A refundable amount collected at Move-In to protect against damage or missed payment.

  • Recurring Fees - Regular charges billed each cycle, such as a technology fee or premium-location fee.

  • Move-In Fees - One-time charges applied when the lease begins.

  • Move-Out Fees - Charges applied at the end of a lease, such as cleanup or administrative fees.

  • Transfer Fees - Charges applied when a tenant transfers to another unit in the same facility.

Coverage (Insurance Plans)

Coverage refers to the tenant protection plans available for a certain unit. Select the plus icon in the Coverage section to open the Assign Coverage form. In the form, you can add a plan, remove it, and set one plan as the default with Mark as Default. Two toggles, Required for Online Move-In and Required for Onsite Move-In, control whether coverage is mandatory for each move-in path.

If a unit already has an assigned coverage plan and you want to change it, select the pencil icon in the Coverage section to open the Assign Coverage form.

ℹ️ Info: To be able to move a tenant into the unit or transfer them, that unit has to have a Coverage plan assigned to it.

Auto-Included Items

Auto-Included Items are items a manager assigns to the unit so that they are added automatically when a tenant moves in. If no items are assigned, the section reads that the unit has no auto-included items.

Unit Documents

Unit Documents are the lease agreements, rules and regulations, and any forms required during the move-in process. You can add documents via the Add Move-In Document Signing Documents drawer. For each document, choose a Template and a Condition that sets when the document must be signed and add as many documents as needed. Documents can be reordered using the drag handle next to each row.

Condition and Availability Controls

The right-hand panel of the Setup tab holds the controls that govern the unit's delinquency handling, physical condition, and online availability. These controls are available from the Setup tab for every unit state.

Delinquency Template

The Delinquency Template card shows which delinquency process applies to the unit. The card can have two states:

  1. When a template is assigned, the card shows its name, such as Default Delinquency Process, and you can select Change Template to assign a different one.

  2. When no template is assigned, the card shows No Delinquency Template Assigned with an Assign Template link, and a warning appears stating that a template is required to proceed with move-in or a transaction.

ℹ️ Info: A unit must have a delinquency template assigned and coverage settings configured before it can be used for move-in or transfer.

If the unit is not occupied, the template you assign applies to any new tenant who moves into the unit. Furthermore, if the unit is already occupied, the template you assign replaces the one currently in use.

Mark as Damaged

Use the damaged control to flag a unit that has a physical problem. Select Mark as Damaged to open the Mark as Damaged form, which records the issue and creates a maintenance task. In the form, enter a Task Name, a Description of the problem, and an assignee in the Assign task to field. To clear the status later, select Mark as Not Damaged.

ℹ️ Info: Although damaged, you can still move a tenant into the unit. During the Move-In process you will be reminded of the unit's state at each of the four Move-In steps.

Mark as Unrentable

Use the rentable control to stop a unit from being offered to prospective tenants (the Move-In button will be inactive until you mark the unit as rentable). Select Mark as Unrentable to open a reason form, enter a free-text reason for making the unit unrentable, and confirm. To make the unit available again, select Mark as Rentable.

  • On the Setup tab next to the unit's state.

  • On the Setup tab on the right-hand side panel (when you click on the information button, you can view the reason why a unit is unrentable).

ℹ️ Info: A unit can be marked both as damaged and unrentable. In that case, you will see it on the List of All Units page and on the Setup tab - next to the unit state and on the right-hand side panel.

Mark as Company Unit

Use the company control to set a unit aside for internal company use. Select Mark as Company Unit to convert the unit, and select Mark as Vacant Unit to return it to normal use. Company units cannot be used for Move-In.

Online Availability

Two toggles control whether the unit can be rented or reserved online via Tenant Portal. Turn on Available for Rental Online to let the unit be rented online, and turn on Available for Reservation Online to let the unit be reserved online. Turn either toggle off to remove the unit from the matching online flow.

Depending on what's turned on or off, a unit can have four states on the Tenant Portal:

  • Available for rental online

  • Available for reservation online

  • Available for rental and reservation online

  • None

Reporting

The Reporting toggle controls whether the unit's data is included in operational analytics. Allowing a unit to be included in Area Reports means tracking occupancy trends, revenue, and performance by unit type or condition.

If a unit doesn't have the Area attribute assigned, you cannot include it in Area Reports, and the toggle button will be disabled.

Unit States and How They Appear on Setup

Every unit has a state, shown as a colored badge next to the unit number on the Setup tab - Vacant, Occupied, Reserved, Company, Unavailable, and Delinquent. The Setup layout is the same for all states. Regardless of which state the unit is in, it can always be marked as damaged and/or unrentable. The differences together with explanations of what each state means are described below:

  • Vacant units: A vacant unit is empty and available to rent. It shows a green Vacant badge. A vacant unit is the baseline layout, with all condition and availability controls active and no extra rows or banners.

  • Occupied units: An occupied unit has an active lease. It shows an amber Occupied badge. The Setup layout is the same as a vacant unit.

  • Delinquent units: A delinquent unit, shown with a red Delinquent badge, is an occupied unit whose tenant is behind on payment, and it uses the same Setup layout as well.

  • Reserved units: A reserved unit is held for a tenant who has not yet moved in. It shows a purple Reserved badge. A reserved unit adds one field to Unit Details that other states do not have: Reserved Until, which shows the date the reservation expires, such as 06/22/2026.

  • Company units: A company unit is set aside for internal company use. It shows a blue Company badge and displays an orange banner at the top of the tab that reads “This is a Company Unit. It can’t be used for Move-In.” For a company unit, the right-hand panel shows Mark as Vacant Unit so you can return the unit to normal use. The moment a unit is marked as a company unit, it becomes unrentable. Only units with the Vacant state can be set as company units.

  • Unavailable units: An unavailable unit is temporarily locked while a Move-In is in progress. It shows a grey Unavailable badge. A unit becomes unavailable when a manager starts a move-in and exits before finishing, or when a tenant starts a move-in through the Tenant Portal. The unit stays unavailable for 15 minutes and then returns to its previous state automatically. The Setup layout is unchanged while a unit is unavailable.

FAQs

1. Why is the Move-In button inactive for my unit?

The Move-In button is inactive when a unit is not ready to rent. A unit must have a delinquency template assigned and coverage settings configured before it can be used for move-in or transfer, and a unit marked as unrentable cannot be moved into until you mark it as rentable. Company units also cannot be used for Move-In.

2. Can I move a tenant into a damaged unit?

Yes, you can still move a tenant into a unit that is marked as damaged. During the Move-In process, the platform reminds you of the unit's damaged state at each of the four Move-In steps.

3. Does Copy From and To Unit copy all of a unit's settings?

No, Copy From/To Unit does not copy everything automatically. After you choose the unit to copy from/to, you select which properties to copy, such as unit attributes, delinquency template, security deposit, fees, coverage, unit documents, and billing period. Only the properties you select are copied onto/from the current unit.

4. Why does my unit show an Unavailable badge?

A unit shows a grey Unavailable badge when a Move-In is in progress, either because a manager started a move-in and exited before finishing or because a tenant started a move-in through the Tenant Portal. The unit stays unavailable for 15 minutes during the Tenant Portal Move-In and then returns to its previous state automatically, so no action is needed.

5. Can a unit be both damaged and unrentable at the same time?

Yes, a unit can be marked as both damaged and unrentable at once. When it is, you can see both statuses on the List of All Units page and on the Setup tab, next to the unit state and on the right-hand side panel.
