Update Private Coverage Expiration Dates by CSV Import

Learn how to update Private Coverage expiration dates for multiple tenants at once by importing a CSV file.

Overview

Private Coverage CSV Import lets you update the Private Coverage expiration date for many tenants in a single action. Instead of editing each tenant record one by one, you can download a template, fill in the new dates, and import the file to apply all changes at once.

Prerequisites

Before you start, confirm the following:

  • You have the Private Coverage Read and Import permissions for the facility and role you are working in.

Step 1: Download the Private Coverage Template

Download the CSV template you want to fill in with the new expiration dates.

  1. Navigate to the Facility level and select Tenants from the sidebar menu. List of All Current Tenants page loads.

  2. Navigate to Export Data or Templates button and select Private Coverage Template from the drop-down menu.

  3. Confirm the template downloads to your device.

Step 2: Fill In the Template

Enter the new expiration dates into the downloaded template.

  1. Open the downloaded CSV file in your spreadsheet application.

  2. Enter the new expiration date for each tenant in the PrivateCoverageExpirationDate column.

  3. Save the file in the same format (.csv).

ℹ️ Info: Keep the file in .csv format when saving. The import accepts CSV files only.

Step 3: Import the Completed File

Upload the completed file and apply the changes to your tenants.

  1. Navigate back to the List of All Current Tenants page.

  2. Click on the Import Data button and from the drop-down menu select Private Coverages.

  3. The Import Data modal opens. Drop the completed .csv file into the import area.

  4. Click on the Upload File button.

ℹ️ Info: The Import Data modal contains section "Need a CSV template? Download template to get started." and a Download button. Clicking the download button is another way to download the Private Coverage Template. You can do this if you want to skip Step 1 above.

Step 4: Review and Approve the Import

Review the imported data and confirm the changes before they are applied.

  1. Review the imported data in the on-screen table that opens after upload. Edit any value in the Expiration Date column if a correction is needed. You can also remove any row that should not be imported by clicking on the remove button located at the end of each row.

⚠️ Warning: In case a tenant has Private Coverage and you leave the Expiration Date field empty for that tenant, their Private Coverage will be removed.

2. Click on the Upload CSV button when the data is correct.

3. Select Approve Import in the approval modal and confirm the message "Private coverages imported successfully." appears.
